When the local chapter of an association of digital and video communication professionals needed assistance organizing a major regional event, Full Duck undertook to write and design all the promotional materials as well as manage where and how they were used.
Challenge:
Provide documentation and promotion services to the Denver Chapter of the Media Communications Association-International annual regional Denver Video Festival. Create posters, website materials, announcements, signage, entry rules and forms. Develop a group of sponsors who provide operation cash and services. Order awards and organize an awards banquet. Manage the dinner set up, displays by sponsors, coordination with caterer and host, and volunteers. Work with other organizers who arrange other parts of the festival and keep overall budget for the event.
Solution: Full Duck Productions met with other organizers to distribute jobs and kept in touch throughout the year to coordinate and make sure nothing was overlooked. Full Duck selected logo, colors and display style to coordinate all printed materials, including posters, website, signs, announcements, Call for Entries, letterhead, invoices and receipts. Full Duck determined a schedule for all the jobs to be done and lined up volunteers to help. Early Full Duck tasks were getting commitments from sponsors, printing and distributing the Call for Entries, and arranging for locations for booth presentations at trade shows and the final awards banquet. Later Full Duck tasks were determining which services for the banquet would be supplied by the caterer, the host or the volunteers. Final Full Duck tasks were supplying signage, script for the presentation program, and direction the night of the banquet. Finally, Full Duck prepared the budget report and recommendations for the following year’s activities.
